A useful quotation begins with a precise product brief. Give suppliers the same requirements so that their responses can be compared on the same basis.
Start with the exact product
List the product name and required variant. For example, an enquiry for an IV cannula should identify the gauge and any required port or safety configuration. Reference the catalogue sheet and ask the supplier to confirm the final specification.
Separate product units from packing units
State whether the quantity means individual pieces, pairs, sets, boxes or master cartons. Include units per inner pack and per carton where known. A low carton price cannot be compared fairly without knowing the carton contents.
Explain the destination and timeline
Name the destination country and intended delivery city or port. Give your target timeline and ask the team to confirm production and dispatch timing. Identify required documents early; their availability depends on the product and manufacturer.
Ask for a complete commercial response
Request the unit price and currency, packing basis, quantity, quotation validity, payment terms, delivery basis and named place. Ask whether freight or insurance is included. Resolve unclear items before confirming the order.
